Inventory Department Name Change

The Inventory Department has changed its name to Capital Asset Management (CAM). This change, effective November 2009, will now closely reflect the activities associated with this department.

CAM is responsible for tracking, tagging, and conducting an annual physical inventory for university owned and loaned equipment. Financial Analysis has an asset function to account for fixed assets such as buildings, building improvements and collections. Within CAM, the data for both functions will be combined into a single database. The name change reflects the integration of capital equipment with fixed assets.

The name of the Kuali Financial System (KFS) module for assets is Capital Asset Management System (CAMS), so the new name reflects the activities associated with asset accounting at MSU.

Quick Tips for Equipment Disposal

It is important to track capital equipment and to use an Equipment Transfer Notice (ETN) to transfer, sell, or trade capital assets, because

  • The university monitors capital assets from the date of purchase to the date of disposition.
  • Monitoring assets is in compliance with governmental regulations and meets the institution's insurance policy requirements.
  • The university is required to provide financial reports to the state and federal governments that reflect the true "value" of the institution.
  • The ETN ensures that equipment is removed from inventory records.
  • The ETN provides Risk Management the correct value of the items in a particular building and location.
